Organization: Established in 1964, the Ririe-Woodbury Dance Company works to further contemporary dance as an accessible and valued art form, through performances of original and commissioned works, and dance education for all ages. Ririe-Woodbury serves more than 65,000 artists and audience members each year. The Company’s performing season runs from September to April with three public performances, and one annual fundraiser. In addition to six to eight casual public events.
Job Description: The Patron Services & Office Manager is vital for the Company’s day-to-day operations and patron support. This position is responsible for office management as well as maintaining a positive line of communication with our public. Responsibilities include: interfacing with patrons; ticketing; planning and facilitating pre and post-performance receptions; local performances and educational events during the Company's season. Additional office management responsibility of providing staff support in an office management role including: answering phones and emails; supervising print material production; mail and email lists, managing photo, video, and print collateral libraries.
Required Qualifications: Good communication skills, highly organized, ability to follow through on tasks and goals. Additionally, flexibility and a positive attitude working with a small group of committed individuals.
Detailed Job Description
Patron Services
- Interface with subscribers
- Collect and maintain complimentary ticket requests from staff and dancers
- Distribute VIP complimentary tickets and discount vouchers
- Distribute complimentary tickets to schools, community groups, other arts groups, various charities, etc.
- Compile ticketing statistics on performances
- Manage season subscribers
- Work with Education Director on student matinee reservations and busing
- Tickets and Events assistance
- Attend Ambassadorial Committee meetings
- Coordinate with Administration and Committee members on volunteer tasks
- Manage all nonprofit ticket voucher requests
Show and Event Assistance
- Home Season Productions Assistance
- Assist with other offsite events as needed
Office Manager
- Company Communications
- Maintain Office Manager “how to” booklet
- Order office supplies
- Ensure that office is clean and organized
- Manage any phone issues
- Enforce biweekly computer back up by each company member
- Order and manage Company badges and building keys with County
- Maintain press clippings for Marketing department
- Maintain copies of home season programs
- Maintain and oversee printer
- Oversee Company’s accounts. Send ALL invoices and receipts to accounting.
- Update Company account passwords as requested by Executive Director (all user ID and Password must be sent to the Executive Director)
- Organize staff meetings
- Administration assistance
- Manage petty cash
- Manage Company Merchandise
Computer Support
- Help other staff members deal with computer issues basic MS Office questions, computer backups, mailing databases, and some basic networking. (Entries into GiftWorks must be reviewed with Director of Development and Executive Director. All entries must be consistently entered into system.
- Maintain snail mail and email databases.
- Maintain office computers and equipment.
Other
- Assist with housing arrangements for guest artists
Experience: A proven track record of successful project management. Proficient in the use of computer technology and software including Microsoft Office, Apple and other tools relevant to the position.
Skills:
- Excellent writing/editing skills and verbal communication is a must
- Excellent organizational skills and the ability to meet deadlines
- Outgoing personal demeanor and an eagerness to meet with patrons
- High comfort level with a creative, flexible, and collaborative work approach and the ability to work well with others
- Maintain Company’s memberships as they relate to tickets
- The ability to work independently
- Design skills beneficial, but not required
Reports to: Executive Director
Hours and Compensation: This is an hourly, non-exempt. In-office and remote schedule negotiable based on Company needs and productivity.
Salary: $18 per hour (10-30 hours per week depending on season productions)
